# Zapier Integration

The Zapier integration enables automated workflows between Asset Panda Pro and 9,000+ third-party apps. This integration supports inbound and outbound data flows.&#x20;

* Inbound workflows use Zapier's native Asset Panda Pro actions to create and update records in Asset Panda Pro from external apps.&#x20;
* Outbound workflows use Asset Panda Pro's built-in automation triggers to send data to any connected app in Zapier.

## Common use cases <a href="#use-cases" id="use-cases"></a>

* A new row added to Google Sheets automatically creates an asset record in Asset Panda Pro.
* An asset record created or updated in Asset Panda Pro sends an instant notification to a Slack or Microsoft Teams channel.
* A request ticket submitted in Asset Panda Pro triggers a Slack notification to the requester, with automatic updates when the ticket status changes.
* An asset status change in Asset Panda Pro automatically creates a ticket in Jira or ServiceNow.
* A deal closed in HubSpot or Salesforce creates or updates an asset record in Asset Panda Pro.

* All workflow configuration is completed in Zapier, not within Asset Panda Pro. Trigger-based polling checks for new events every 5 to 15 minutes, depending on your Zapier plan.
* Zapier is a third-party application. Asset Panda does not control updates made by Zapier. For more information on how to use Zapier, see the [Zapier Help Center](https://help.zapier.com/).

You must perform the following steps to integrate Zapier with Asset Panda Pro:

* **Enable Zapier:** Add the Zapier integration from the Integration Store in Asset Panda Pro.
* **Set up inbound workflows:** Connect Asset Panda Pro in Zapier and configure actions to create or update records.
* **Set up outbound workflows:** Configure automations in Asset Panda Pro to trigger actions in connected apps via Zapier.

## Prerequisites <a href="#prerequisites" id="prerequisites"></a>

* Active Asset Panda Pro subscription with Organization, Account, or Module admin access
* Valid Zapier account (free or paid)
* Required collections and fields must exist in Asset Panda Pro before configuring the integration

## Set up the Zapier integration <a href="#add-zapier" id="add-zapier"></a>

1. Log into Asset Panda Pro with an administrator account.
2. Navigate to <img src="/files/dLHka5YWbUR3zisHLua6" alt="" data-size="line"> **Settings > Account Management**.
3. Expand the appropriate account and module.
4. Click **Manage** in the Integrations card.
5. In the **Zapier** tile, click **Add**, and then click **Edit**.

No configuration is required within Asset Panda Pro. All setup is completed in Zapier.

8. Click **Open Zapier** to configure the integration.

## Push data into Asset Panda Pro from another app

1. Navigate to [zapier.com](https://zapier.com/) and search for **Asset Panda Pro**.
2. Connect your account using your Asset Panda Pro username and password.
3. Create a new Zap with your source app as the trigger (for example, Google Sheets, a form submission, or a CRM event).
4. Select **Asset Panda Pro** as the action and choose **Create Record**, **Update Record**, or **Find Record**.

To use **Update Record**, add a **Find Record** step before it in the same Zap. Find Record retrieves the record ID that Update Record requires to identify the record to update.

5. Map your fields and publish the Zap.

## Trigger actions in another app from Asset Panda Pro

1. Navigate to [zapier.com](https://zapier.com/) and search for **Asset Panda Pro**.
2. Connect your account using your Asset Panda Pro username and password.
3. Create a new Zap with **Asset Panda Pro** as the trigger and choose **New Record** or **Updated Record**.
4. Select your destination app (for example, Slack, Microsoft Teams, Jira, or Google Sheets) and configure the action.
5. Map your fields and publish the Zap.

## Troubleshooting <a href="#troubleshooting" id="troubleshooting"></a>

**Zap is not triggering**

* Confirm the Zap is published and the toggle is set to **on** in Zapier.
* Ensure at least one record exists in the selected collection to allow Zapier to detect new events during polling.
* Check Zap History in Zapier for error details.

**Authentication is failing**

* Confirm you are using your Asset Panda Pro username and password
* Ensure your Asset Panda Pro account is active and the subscription is valid.
* If your account uses SSO, contact your administrator to confirm Zapier access is permitted under your SSO configuration.

**Fields are not appearing in Zapier**

* Re-test the trigger step in Zapier to refresh the available fields.
* Ensure the selected collection has at least one existing record with data populated.

**Records are not being created**

* Confirm all required fields in the selected collection are mapped in the Zap.
* Check Zap History in Zapier for specific error messages and review the field mapping step.
