# July 2026 Release Notes

### Core Application Updates

#### Activity Stream - User Login Log

Admins can now view user login activity directly within the Activity Stream, providing visibility into login history for security reviews and user monitoring.

* New **User Activity** section under Activity Stream in global navigation
* Logs every login with date/time, device (Web, iOS, Android), IP address, and geolocation (City/Country)
* US-based logins display City and State (e.g., Dallas, TX); international logins display City and Country
* Org, Account, and Module admins see logs for users within their accessible modules
* Custom roles without Activity Stream permission will not see login logs
* Users with multiple roles see logs from all their accessible modules

#### Kit Parent-to-Child Data Synchronization

New field-level setting allows kit parent record values to automatically sync to all child records, preserving kit data consistency across all records within a kit.

* New **Copy kit parent data into children** toggle in field settings (Collection settings & Admin Tools)
* Setting is visible only when Kits entitlement/feature flag is enabled
* Syncs on: kit creation, parent update, adding records to a kit, forms, automations, and imports
* Newly added child records inherit the current parent value; removing a record from a kit preserves the last synced value
* Disabled (greyed out with tooltip) for Unique and Auto Increment fields; hidden for Attachment and Formula fields
* Enabling on an existing field copies the current parent value to all existing child records immediately
* Child records cannot maintain a different value while synchronization is active

#### Consolidate Formula Duration into Formula Date with Multiple Output Types

Formula Duration is being merged into Formula Date, providing a single unified experience for all date and duration calculations with flexible output options.

* Removes the separate **Formula Duration** data type; consolidates into **Formula Date**
* New output options when Formula Type is Date Calculation: Date, Days, Months, Years, Time (hh:mm:ss)
* **Include time** checkbox available for Days/Months/Years outputs to include time components in calculations
* Enhanced formula builder with field picker, supported operators, formula editor, and formula examples
* Supports Date, Formula-Date, Numeric, and Numeric Formula fields as inputs
* Supports calculations: Date ± Number, Date ± Numeric Field, Date − Date, and grouped expressions with parentheses
* Real-time formula validation with inline error messages; prevents saving while errors exist
* Automatic migration of existing Formula Duration fields — no user action required; existing values preserved

#### Configurable Session Timeout & Idle Timeout

Admins can now configure organization-level session security policies with two independent timeout settings under Organization Preferences.

* **Session Timeout** — automatically signs users out after the configured duration regardless of activity. Options: 4 hours, 8 hours, 12 hours, 24 hours, 7 days, 30 days
* **Idle Timeout** — automatically signs users out after a period of inactivity. Options: 15 minutes, 30 minutes, 1 hour, 4 hours, 8 hours, Never
* Both timeouts are evaluated independently — whichever triggers first signs the user out
* Warning toast displayed before sign-out with countdown for both session expiry and idle expiry
* On expiration, the user is signed out and redirected to the login screen
* Settings apply organization-wide across Web, iOS, and Android
* Mobile consumes timeout configuration from the API — no separate mobile configuration required

#### Additional Date Formats and Separator Selection

Expanded date format support including ISO 8601 (YYYY-MM-DD) and all major format permutations with selectable separators.

* New date format categories in Organization Preferences and field settings:
  * **Year First:** YYYY-MM-DD, YY-MM-DD, YYYY-DD-MM, YY-DD-MM
  * **Day First:** DD-MM-YYYY, DD-MM-YY, DD-YYYY-MM, DD-YY-MM
  * **Month First:** MM-DD-YYYY, MM-DD-YY, MM-YYYY-DD, MM-YY-DD
* Separator selection: Dash (-) or Slash (/)
* Field-level format overrides Organization Preferences; Organization Preference used as fallback
* Supported across Collections, Categories, Forms, Reports, Saved Views, Automations, Audits, Reservations, Imports, Exports, APIs, Notifications, Activity Streams, and Mobile
* ISO-formatted imports now accepted; 2-digit years rejected with clear error messaging

#### Date-Based Automation Triggers

Automations can now trigger based on Date and Formula-Date field values — fire actions X days before or after a date (e.g., warranty expiry, lease end).

* New trigger type: **Based on a date field** with configurable days before/after
* Supports Date fields, Formula-Date fields returning valid dates, and Pull-From date fields
* Dynamic re-scheduling: if the date value changes, the trigger automatically adjusts; cancelled if record no longer qualifies
* Formula-Date fields always use their latest calculated value at evaluation time
* Null, empty, or invalid date values are ignored until a valid date becomes available
* Each qualifying trigger executes only once per configured event unless the date changes
* All existing automation actions remain supported; execution captured in existing automation logging

#### Bulk Update (Reallocate) Records

Users can select multiple records and bulk-update field values without needing a form, enabling efficient mass changes like location updates or reassignments.

* New **Bulk Update** action when one or more records are selected in a collection
* Field selection modal with search and **Show Selected** toggle; unique, barcode, system-generated, auto-increment, formula, and attachment fields are excluded
* Value entry modal with full field validation, formatting, helper text, and default values matching existing field behavior
* Background processing for large volumes with collection processing spinner and toast notifications
* Completion toast delivered only to the initiating user
* Last Updated By and Last Updated Date/Time updated on all affected records
* Enhanced **Bulk Actions Bar** with **More** overflow menu for scalable action organization; dynamic action visibility based on permissions and selection count

#### Archive Records

Users can now archive records to remove them from active collections without deleting them, preserving all data, relationships, and history for future reference or restoration.

* New **Archive** action available from bulk actions, Record Details side panel, and Full Record Details page
* Archived records move to a dedicated **{Collection Name} - Archived** section in the left navigation
* Archived list is **read-only** with Filter, Sort, Group By, Show/Hide Fields, and Export actions available
* **Unarchive** restores the record to its original collection with all data, relationships, and history intact
* **Delete** remains available for permanent removal with existing confirmation and validations
* Record details viewable in read-only mode from archived list, side panel, and full details page; all other record actions are hidden or disabled while archived
* Permissions: Org Admin, Account Admin, Module Admin, and Collaborator have access by default; Custom Roles require explicit Archive permission at the collection level
* Activity Stream captures archive and unarchive events: {UID} record archived/unarchived in {Account} / {Module} / {Collection}
* Archiving does not modify record data — existing relationships, attachments, activity logs, automations, reports, forms, APIs, imports, exports, and integrations remain unchanged
* Fully supported during Classic-to-Pro migration with no data loss

#### Send Form Log & Depreciation Reports Via Automations

**Send Form Log and Depreciation Reports via Automations** — Admins can now select **Form Log Reports** and **Depreciation Reports** as report sources in the "Send Report" action within Agents (automations). When configuring the action, users can choose one report source and one output format (PDF, Excel, or CSV). Once the automation triggers, recipients receive an email with the selected report attached in the chosen format. This expands automated reporting beyond collection reports, enabling scheduled delivery of form log and depreciation data without manual effort.

#### Standalone Attachment Uploads in Global Library <a href="#check_mark-standalone-attachment-uploads-in-global-library" id="check_mark-standalone-attachment-uploads-in-global-library"></a>

Users can now upload attachments directly to the Global Library without associating them with a record, enabling file management before linking to records when needed.

* **Upload Action** — New **Upload** button on the Global Library page opens the existing file upload flow
* Users can upload one or more supported files directly into the Global Library without selecting or creating a record
* Standalone attachments are displayed in the Global Library with existing list functionality; search, filter, sort, and download remain unchanged
* **Preview** — Preview modal follows the existing attachment preview experience. Record hierarchy information is hidden until the attachment is associated with a record; once associated, record hierarchy is displayed using existing preview behavior
* **Record Association** — Standalone attachments remain available for selection wherever attachments can be added to records. Associating an attachment with a record does not require re-uploading the file. Once associated, the attachment follows all existing attachment behavior
* **Permissions** — Existing attachment upload and access permissions continue to apply
* **Validation** — Existing file type, file size, duplicate handling, upload validations, progress indicators, and error handling remain unchanged
* **Activity Stream** — Activity log captured when an attachment is uploaded or removed directly from the Global Library:
  * `{filename}.filetype uploaded`
  * `{filename}.filetype removed`
* **Mobile** — Same standalone upload experience available on iOS and Android via the Global Library Upload action. Mobile follows web-configured attachment permissions. Standalone uploads require an internet connection; existing offline attachment behavior remains unchanged
* **Backward Compatibility** — Existing attachments remain associated with their respective records. Existing record-level attachment uploads, attachment management, APIs, imports, exports, and integrations remain unchanged
