General Asset Management Trial Guide
Overview
Welcome to the Asset Management Starter Trial.
This environment demonstrates how organizations can track, manage, and monitor assets using Asset Panda. The trial provides a simple example of how a company might track equipment, assign assets to employees, monitor locations, and maintain a clear activity history.
The goal of this trial is to show how asset tracking can become organized, visible, and automated, replacing spreadsheets or disconnected tracking systems.
Within this trial you will explore:
• Asset tracking and lifecycle management • Assigning assets to employees • Monitoring equipment locations • Reviewing activity history • Viewing operational dashboards
System Structure
The trial environment includes the following core collections.
Assets
The central collection that stores all equipment being tracked.
Example assets include:
• Laptops • Tablets • Cameras • Projectors • Tool kits
Each asset record contains information such as:
• asset type • department ownership • location • assigned employee • purchase information • warranty expiration
People
Stores individuals who may be responsible for assets.
Employees can be assigned equipment, allowing organizations to track who currently has an asset.
Departments
Departments organize assets by team or business unit.
Examples include:
• IT • Operations • Marketing • Facilities • Finance
Locations
Locations represent where assets are stored or used.
Examples include:
• Headquarters • Storage Room • Conference Room • Warehouse • Remote Office
Activity Logs
Activity Logs capture the history of actions performed on assets.
Examples include:
• assignments • transfers • status changes • maintenance updates
This creates a clear audit trail showing how assets move through the organization.
Exploring the Trial
Viewing Assets
Open the Assets collection to view the equipment currently tracked in the system.
Each record displays key information including:
• asset name • asset type • department ownership • location • assigned employee • lifecycle status
Clicking an asset opens the full record where you can review:
• purchase details • warranty information • assignment status • activity history
Assigning an Asset
Asset Panda allows organizations to track which employee is responsible for equipment.
To simulate assigning an asset:
Open an asset record.
Edit the Assigned To field.
Select an employee from the People collection.
Save the record.
When an asset is assigned, the system automatically updates the Status field to Assigned.
Returning an Asset
To simulate returning equipment:
Open the asset record.
Clear the Assigned To field.
Save the record.
The system automation will automatically change the Status back to Available.
Saved Views
Saved views organize assets into useful operational lists.
Available Assets
Displays assets that are currently available for use.
Assigned Assets
Shows equipment currently assigned to employees.
Warehouse & Storage Assets
Lists assets currently located in storage areas.
New Assets
Displays assets purchased within the last year.
Saved views allow organizations to quickly answer operational questions such as:
• What equipment is available? • Who currently has assets assigned? • What equipment is in storage? • What assets were recently purchased?
Dashboard Overview
The Asset Management Overview Dashboard provides a high-level summary of the system.
Widgets included in this dashboard demonstrate how organizations can visualize asset data.
Total Assets
Shows the total number of assets currently tracked.
Assets by Status
Displays the distribution of asset lifecycle stages.
Assets by Department
Shows which teams currently manage the most assets.
Assigned Assets
Lists employees who currently have equipment assigned.
Available Assets
Displays equipment ready for use.
Dashboards help organizations gain instant operational visibility without needing to search through records.
Activity Tracking
Activity Logs record operational events related to assets.
Examples include:
• assigning equipment to employees • transferring equipment between locations • updating asset status
Each activity log entry includes:
• the asset involved • the employee responsible • the date of the action • notes describing the event
This provides organizations with a complete audit trail of asset activity.
Automations in the Trial
Two automations are included to demonstrate how workflows can be automated.
Assignment Automation
When an employee is assigned to an asset, the system automatically sets the asset status to Assigned.
Return Automation
When an asset is no longer assigned to a user, the system automatically updates the status to Available.
These automations illustrate how Asset Panda can help organizations reduce manual data management.
Next Steps to Explore
To further explore the platform you can:
• create additional assets • assign equipment to employees • move assets between locations • add activity log entries • build new saved views • create custom dashboards
Asset Panda can be customized to support many use cases including:
• IT asset management • equipment tracking • fleet management • operational inventory • compliance asset tracking
Conclusion
This starter trial demonstrates the core capabilities of an asset management system:
• centralized asset tracking • accountability for assigned equipment • location visibility • operational dashboards • activity history • simple workflow automation
Organizations can expand this foundation to manage thousands of assets across multiple departments and locations.
