Using Consumables to Track Quantity-Based Items
Consumables
Consumables are items tracked by total quantity instead of individual records. These include commonly issued items like headsets or cables, where keeping count matters more than tracking each unit. With the consumables setup, you can manage stock levels, update quantities, and transfer items between teams or locations without the overhead of serialized tracking.
Prerequisites
Before tracking consumables:
Ensure a collection (such as Assets) exists for storing records.
Create a category and mark it as Consumable to enable quantity tracking.

Add a Consumables Record to a Collection
Navigate to the Assets collection.
Click Add to create a new record.
Select the consumable category (e.g., Headsets) in Asset Type.
Enter values for Quantity on Hand and Minimum Quantity.
Complete any additional fields (such as child or parent).
Click Save.
The system now tracks this item by quantity within the assigned field—such as a team, location, or department.
Transfer Consumable Quantities
Open a consumable record.
Click Transfer.
Choose the Transfer Field (e.g., Child).
Select a target within that field (e.g., C1).
Enter the Amount to Transfer.
Choose to create a new record if one doesn’t exist at the destination.
Review the new values for both origin and destination.
Click Continue.
For example, if the origin has 12 headsets and you transfer 5 to another record, the source updates to 7 and the destination to 5.
