Creating Custom Permissions
In Asset Panda, custom permissions help you decide who can manage assets, approve requests, or view reports. Custom permissions let you fine-tune access if the predefined roles don’t fit your workflow exactly as you envisioned. You assign these permissions to users or group them into user roles, ensuring everyone has the right access. Custom permissions control sensitive actions while supporting a secure and efficient workflow for your team.
On the left navigation pane, click the Settings icon, and click Roles & Permissions.
To create a new custom role, scroll down to the Custom Roles section and click Add+
Role name: Enter the role’s name.
Description: Provide a summary of the role’s purpose.
Account and Module: Select the relevant account and module the role applies to.
Specify tasks you want users to perform or restrict, such as View, Create, Edit, Delete, Forms access, and Importing across collections like Assets, People, Location, and Category.
You can apply specific conditions under the Limit Record Permissions section to control which records a user can view based on predefined filters.
Use the Match dropdown to select whether all or any conditions need to apply.
Choose the relevant Collection, Field, Condition, and Value to define your filter criteria.
To define multiple conditions, click Add more. After setting all conditions, click Apply to activate the filter.
In the Resources section, choose the tasks that users can perform in each area by selecting View, Edit, Create, or Delete under Resources (e.g., Views or Dashboard).
To enable additional features, use the toggles next to each feature:
Submit forms: Allows users to bypass record permission to submit forms
Import records: Allow users to import new records or update existing records in bulk from a spreadsheet.
Export records: Allow users to export the data inside a collection or saved view into an external file.
Barcode/Matrix scanning: Allow barcode scanning.
Activity Stream: View historical data and changes.
Locking Records: Lock records to prevent users from making any manual edits or automated changes to records.
Click Save.
